What is RingCentral?

RingCentral is a Web-based VoIP PBX system ideal for small businesses. While it’s quite sophisticated, it’s also easy-to-use. Often small businesses use individual phones and voice-over-IP systems which are on their premises. Using a web-based system makes the whole setup simpler by connecting phones to a remote Internet server.

How does RingCentral work?

Getting Started

To get started, all that’s required is a phone and an Internet connection. Phones can be procured by users themselves or purchased/ leased from RingCentral at affordable prices. Setting it up is fast and doesn’t require long periods like old hardware systems which require installation and maintenance of expensive, complex hardware.

Once you place an order for a desk phone, you’ll get a Plug and Ring Ready in a few days. It just requires to be plugged into an Internet router. Alternatively, a free app can be downloaded for smartphone and tablet use. There’s also an option to make calls using the RingCentral Softphone on a computer.

Company Numbers

Users can establish businesses in selected areas using a local number or transferring their existing numbers. They can also use vanity or toll-free numbers to make it easier for customers to get in touch.

Basic Configuration

The next step is adding users and creating profiles using various management options. This includes the assignment of direct dial numbers, extensions, and more.

Separate departments like support, sales, and billing can be created with separate settings for call routing and greetings.

RingCentral Fax

This offers an easy means of receiving and sending documents for home offices, small businesses, and mobile workers. It eliminates the need of a fax machine and allows sending and receiving documents from any place that has an internet connection. Users can send faxes to other online fax subscribers and also to those with traditional fax machines. Sending faxes becomes as simple as sending email.


RingCentral Features

Integrated Real-Time Call Controller

This feature allows a PC to be turned into a call command center. Incoming calls can be easily answered or screened, sent to voice mail, transferred to another extension, or disconnected. Voice messages can also be monitored and the required ones picked up. Callers can be prompted to give their names and these are played via PC speakers.

Click To Call/Ring Me Web Buttons

This functionality is offered by only two vendors – RingCentral and Phone.com. A button can be added to the company website to enable visitors to call directly from PCs. They simply press an icon, enter their phone numbers; and RingCentral connects them right away. Now that’s great customer service!

Microsoft Outlook & Office Integration

With Microsoft Outlook integration, calls can be directly placed from Outlook using RingOut click-to-call dialing, faxes can be received in Outlook’s inbox, and sent to Outlook Contacts. Faxes can also be directly sent from Microsoft Office applications like Microsoft Excel, Word, and PowerPoint.
